What switching your EMR usually looks like.

If you’ve migrated before (or even talked to another EMR about migrating) you’ve probably heard some version of these stories. Unfortunately, they’re not edge cases. They’re the norm.

The Hostage Situation

Some EMRs charge $300–$1,000 per data export. Request your records, add a new patient afterward, and that’s another export fee. Buy a membership? Another fee. It’s a pay-per-patient hostage situation designed to make leaving expensive.

“They told me any additional reports, including memberships, would come at a fee. And anybody after that would be a subsequent export and would also cost anywhere from $500 to $1,000. I’m livid.”

—  Practice owner describing their previous EMR

The DIY Nightmare

You’re told integrations and data transfers are “easy.” Then onboarding hands you a Zapier login, a 36-hour wait for a code, and a “good luck.” Features promised during the sales process never materialize. You’re rebuilding your practice from scratch on a system that was supposed to save you time.

“It ended up costing me like $30K and six months of my life. That’s why I have not made an EMR switch — even if it was free, it’s the time.”

—  Practice owner on a previous failed migration

The “Barebones” Transfer

The industry standard for EMR migration is shockingly thin: patient names and birthdays. That’s it. Treatment notes, before-and-after photos, consent forms, gift card balances, membership records — you either lose them or rebuild them manually. And they call that a “migration.”

“When they do it, it’s literally the patient name and birthday. That’s what you get.”

We Hear You

The Four Fears Every Practice Owner Has About Switching.

“I’ll be left to figure it out alone.”

Not at Moxie. Your Onboarding Manager is assigned on day one and stays with you past launch. One person who knows your full situation — not a ticket number.

“I’ll lose my patient photos and records.”

We migrate treatment notes, images, consent forms, wallet balances, and appointment history. Every record is tested and validated before you go live.

“There will be hidden fees.”

$0 to migrate. $0 for additional exports. $0 for data pulls. And you don’t pay Moxie until you’re fully live. No surprises.

“My practice can’t afford downtime.”

You keep running your practice normally until the moment we flip the switch. No dual-system chaos. No gap in operations. Your patients won’t notice a thing.

Our migration promise is simple.
We do 90% of the work. You do 10%. Your MigrationManager is assigned from day one and stays with you through launch. One person who knows your whole situation — not a rotating cast of strangers with a ticket number.

How it works

One dedicated team.
Zero guesswork.

Every migration follows a proven playbook — customized to your practice size, data volume, and current EMR.

1

Intake & Assessment

Your Onboarding Manager reviews your current setup. You fill out one intake form to kick things off.
5

Testing & Validation

We run a test migration with a sample of your data and walk you through the results before anything goes live.
2

Scoping & Documentation

We review your EMR’s capabilities, draft a custom migration plan, and lock in your service menu.
6

Full Migration Execution

We run the full migration — clients, appointments, images, and files — while you step away from your old system.
3

Planning & Pre-Migration

We finalize milestones and responsibilities. You clean up any duplicate records in your current system.
7

Validation & Handoff

Our QA team cross-checks everything. You confirm it looks right, and we hand you off to your ongoing support team.
4

Data Extraction & Transformation

Our team pulls your data, then converts, maps, and validates everything for accuracy and compliance.

“I just mentally thought I’d have a mental break if I had to do it again... You guys do all of that? The work you ask me to do is only like 10% of what I'd expect.”

Common questions

We know you have questions.

How long will my migration take?

Every migration is scoped to your practice — your data volume, your EMR, your complexity. Your Onboarding Manager will build a custom plan after scoping so you know exactly what to expect. No surprises.

Will I lose any patient data?

That’s what our test migration is for. We run a sample first so you can verify everything. Our QA team does a final cross-check — nothing goes live until you’ve confirmed it looks right.

Do I have to do anything technical?

Nope. Your biggest contribution is giving us a login. We handle extraction, transformation, mapping, and validation. You review and approve.

When do I start paying Moxie?

Not until you’re fully migrated, trained, and live. No overlap charges. No double billing.

What if I want to leave Moxie later?

Your data is your data. We ask for 90 days notice to help you off-ramp. No penalties. No export fees. Your patients go with you.

Can you migrate from my specific EMR?

Almost certainly. We’ve migrated from PatientNow, Aesthetic Record, Jane, Boulevard, Zenoti, MindBody, and dozens of patchwork setups. If your EMR stores data, we can move it.
